Create a quote

What is a quote for?

  1. Click Create (+) > Quote.
  2. Choose a customer. Or, enter a new one.

    Tip: If you want to create quotes for people who may not necessarily become your customers, you can add a name, such as "CustomerQuote" and assign quotes to that name.

    If you select a foreign currency customer, the currency and exchange rate are shown next to the Customer field on sales forms.

  3. Choose a status for this quote. What does the Status mean?
  4. (Optional) Fill in your custom fields. Any fields you leave blank won't appear on the quote you deliver to your customer.
  5. To indicate that this quote is valid only for a limited period of time, enter a date in the Expiration date field.
  6. Enter each estimated charge in the table.
    Product/Service

    Select the product or service in which you want to categorise this sale, or add a new one. (Why?)

    (Your customer does not see the product or service name unless you explicitly select it on the Customise Sales Forms page. How?)

    Description  

    Your customer sees the description text on this printed or sent quote.

    Qty/Rate  

    Together, Qty and Price/Rate calculate the amount for a line.

    If you change the price/rate for a product or service, the change doesn't affect the price/rate for future uses of it.

    Amount  

    Enter an amount if you didn't fill in the Qty and Price/Rate.

    GST

    Select the GST code.

  7. (Optional) Enter a Message displayed on estimate.
  8. (Optional) Enter a Memo. The Memo text doesn't appear on the printed or emailed quote. Use the memo just to keep notes for yourself and other users in your company about this quote.
  9. (Optional) If you've saved a style other than the Standard style, you can choose it from Customise at the bottom of the page.
  10. Click Print or Preview. Then:
    1. Click Print or Preview again to make sure the form will look the way you want when you send or print it. You can save it as a PDF from here, too. Just hover over the previewed form to see Adobe's save icon.
    2. If you select Print Later, you can print it from the queue later.

    Even if you don't send or print the form, it's included in reports and in the customer balance when you save it.
