Match to multiple transactions

You can match a downloaded transaction amount to more than one QuickBooks transaction.

If you are matching in a foreign currency, you can only choose one transaction to match. However, if you need to match more than one item, you can create a deposit transaction for the difference. If there is a difference in the amount between currencies, QuickBooks manages this automatically in the background. It creates a Gain or Loss journal entry for the difference (Exchange Gain if there is a credit, or Exchange Loss if there is a Debit). To see this difference, run a Journal report.

Say you received payment for three invoices with three cheques for $100 each. At your bank, you made one deposit for$300. In this case, you want to match the $300 downloaded amount to the three$100 payments you received against those invoices.

  1. In the navigation bar, click Transactions > Banking.
  2. Select an account from the cards at the top of the page.
  3. Select a transaction that you know has multiple QuickBooks transactions (that is, a deposit).
  4. Click the Find other matching transactions button.
  5. In the Match transactions window, select the transactions that add up to the downloaded transaction amount.

    If you don't see an item you expected to see, it may not be in the date range QuickBooks analyzes. Try changing the date range in the From and To fields.

  6. To be sure that the total amount matches the downloaded amount, do one of the following:
  7. Click Save. Back on the Banking page, the transaction moves to the In QuickBooks tab.
